What is free

Straightforward: the server app is open source. We only charge for the official companion apps.

Which countries does ArbeitszeitCheck support?

Germany, Austria and Switzerland (DACH). Choose a labour-law profile for ArbZG, AZG/ARG or ArG, and holiday regions for German federal states, Austrian Länder and Swiss cantons.

Is the web app free?

Yes. The Nextcloud web app ArbeitszeitCheck is open source (AGPL-3.0-or-later) — complete feature set, no licence key, no user limit.

Do the Play Store apps cost money?

No. ArbeitszeitCheck Mobile and Terminal are free downloads. They work only after your organisation applies a valid licence key on its own Nextcloud and assigns seats or devices.

Does our time data stay with us?

Yes. Clock events and related data stay on your Nextcloud. We do not get ongoing access to your instance, and we do not sell hosting with the licence.

No instant web-shop checkout — we sell B2B with a quote and invoice. The path is:

How do I buy a licence?

  1. E-mail info@software-by-design.de.
  2. Send company name, desired mobile seats and/or terminal devices, billing address, and VAT ID if applicable.
  3. You receive a quote, then an invoice (net plus VAT).
  4. After payment we e-mail the AZC2 licence key to your IT contact.
  5. Your IT enters the key under ArbeitszeitCheck → Licence and assigns seats or devices.

Who is this for?

For businesses and organisations (B2B). There is no personal consumer licence. Employees install the app for free; the organisation pays for access.

Can I buy Mobile and Terminal separately?

Yes — Mobile only, Terminal only, or both on one key. Combining both grants a 10% bundle discount on the sum.

Prices, seats & devices

What does Mobile access cost?

€4 per named user per year. Minimum €120/year (covers up to 30 users). From the 31st user: €4 for each additional user.

Example: 12 users → €120/year · 40 users → €160/year.

What does Terminal access cost?

€99/year for the first paired tablet, €89/year for each additional tablet.

Example: 3 tablets → 99 + 89 + 89 = €277/year.

What is a “seat” (Mobile)?

A seat is a named Nextcloud user your admin assigns for mobile clocking. That person may use the app on their devices — the limit is the seat list on the server, not the number of devices.

What counts as a terminal device?

Each paired tablet registered as a foyer time clock (kiosk) on your instance. One device = one slot in the licence key.

Are prices gross or net?

List prices are net, plus statutory VAT. Billed annually by invoice. Details and bundle: pricing on the product page.

Demo licence

Can we try before buying?

Yes. On request we issue a free, time-limited demo licence for a limited group of users or devices.

Request a demo licence — a short message with company name and desired scope is enough.

Can the demo run in production forever?

No. The demo is for evaluation. After it ends — or for production use — you need a paid annual licence.

Key ownership & use

Who owns the licence key?

The organisation that purchased it. The key is tied to your organisation and the agreed seats or devices — not personal property of individual employees.

May we resell or share the key?

No. No sale, rental, or sharing with other companies. Only your administrators assign seats and devices internally.

How many Nextcloud instances does one key cover?

The one production instance of your organisation for which the key was issued (as stated in the quote or invoice). Ask us separately about staging or test.

What happens without a valid licence?

The web app keeps working. Official Mobile and Terminal apps and related client APIs refuse clocking access (e.g. HTTP 402) until a valid key and seat or device are in place.

Term & renewal

How long does the licence last?

Usually 12 months from the “valid until” date on the key. During the term: app updates and e-mail support per the licence terms.

How do we renew?

We e-mail a reminder before expiry (typically about 60 days ahead). After payment for a new period we issue a new key with an extended date. Seat and device assignments on your instance stay — you only replace the key text.

What happens after expiry?

Mobile and Terminal access stop. Web time tracking on your Nextcloud continues. After renewal payment, client access works again.

Refunds

Is there a consumer cooling-off right?

Our licences are sold to businesses and organisations. For this B2B purchase there is generally no statutory consumer distance-selling withdrawal right.

Do you still offer a refund?

Yes, voluntarily: within 14 days of payment if the licence key has not yet been activated on a production Nextcloud. E-mail info@software-by-design.de with your invoice number.

After production activation or after the 14 days, there is no pro-rata refund for the current term. Demo licences are free and not refundable.
